Step-By-Step - eSign

How Does it Work?

Sending a request for eSign is as easy as 1, 2, 3!
To send clients a request for eSign, you must complete the following 3 tasks in your Conditions and Documents section
Find and check off the Condition that you need signed.
Upload (or generate) a PDF for each document under the Condition.
Select the eSign symbols so that they’re highlighted blue.
Note: Make sure that the eSign icon next to the Condition, as well as next to each document name that you want signed are selected. Once they’ve been selected they’ll be highlighted blue.
For Compliance Documents that have been generated in Velocity, eSign symbol next to the document will highlight automatically when the eSign symbol next to the condition is selected.
Click Actions > Send Selected eSign Documents (don’t forget to generate or upload your PDF first).
Your clients on file will be pre-filled for you with the email addresses that you entered in the Borrowers section. You can also add or delete borrowers. If you need to add a Recipient that is not a Borrower, fill in the Add New Clients to eSign details and click the Add Client button (E.G. solicitor, notary, yourself).
Important
If you're sending out one of the following documents for eSign, then you won't need to complete the following steps as they've already been templated. So sit back, relax, and wait for your clients to sign.

HOW TO: PLACE SIGNATURES
The eSign Designer Page will pop up. On the left side select the signers name, then under Fields select and place the Signature Field or Signer Initials. Once you've placed the signature or initials, you can insert alternate fields as well by selecting and positioning them (Signing Date, Signer Name, Date or Text).
Once you've placed the signature, click the corner dots to resize them.
Drag the coloured box to the correct position. Note: Different colour boxes will appear for different borrowers. Be sure to place Signature fields on each of your documents for all of the signers.
NOTE: Signature and Initial Fields can be duplicated (read below).
Important
eSign defaults to a printed text signature. IN ORDER TO BE LENDER COMPLIANT you will need to change it to Capture Signature (SEE INSTRUCTIONS BELOW)
Capture Signature is where the client needs to use their finger to sign the document on a touch screen device, or use their mouse on a computer. For best results, it is recommended to use a touch screen device.
HOW TO: CAPTURE SIGNATURE
After you've placed your signature and with the signature selected (make sure to click on it so that it's selected), click the top three dots in the right corner of the Designer screen.
A Field Settings page will pop up. Select Capture Signature from the Signature Type drop-down menu.
HOW TO: DUPLICATE A SIGNATURE OR INITIAL FIELD
Still in the Field Settings, click the three dots in the top right corner...
Then click Duplicate
TEXT FIELD AND AREA EXPLAINED
Text Field – Single line of text
Text Area – Allows for multiple lines of text
HOW TO: INSERT NOTES IN THE TEXT FIELD / AREA
Any notes that you want to write will show up on the document that the client receives. The client can then delete your notes and enter their own. These notes will show up on the final document.
To enter notes, select Text Field or Text Area, then click on the three dots in the top right corner (same as with Signature and Initial Fields)
To ensure your client doesn't miss typing in a Text Field, make it required.
Note: All Fields need to be either attached to a Signature or an Initials Field. Click and place the Signature Field before the other Fields (Date and Text Fields). To go back and add additional Date and Text Fields, click on one of the Signature and Initial Fields again.
Once you’ve sent the request, a message will pop up to tell you that it has was successfully sent. The status next to your Condition in your Conditions and Documents section will change to eSign Requested.

WHAT THE SIGNER SEES
Your client will receive an email that will connect them to eSign
Once they’ve clicked Sign Your Documents and accepted the consent form, they will be taken to the document for signing. They can click to sign where indicated.
They will be prompted to capture their signatures. With touchscreen devices they can simply use their finger to sign the document. With non-touchscreen devices they can use the mouse.
Each user should only have to sign once. Any sequential signatures can be auto filled by clicking. When they are done they click ok.
AFTER DOCUMENTS ARE SIGNED
The status will automatically change to eSign Complete with the number of completed signatures in square brackets. You will also receive an email notification after each person signs, and once the package has been completed. You can click the paperclip to view the signed document. If there are multiple documents under one Condition, open the Condition and click the View button next to the document you want to view.
HOW TO: RETRIEVE OUTSTANDING SIGNATURES
Click the Fetch button next to the file name in the condition to retrieve any outstanding signatures.
